Process for Hosts
  1. Register in our host form. We will ask you about yourself and your accommodation. You don’t have to be free during the whole time of the conference. Even a few days are helpful for us.
  2. Please feel free to tell other people about the bedexchange, so we can find as many hosts as possible!
  3. Information-Call: 2. May 19:00 (to clarify any questions), Meeting link will follow on the website.
  4. After we found a match for you, you will be informed. This will be around the middle of May.
  5. Get in touch with your guest through email or phone.
  6. Tell them about special rules and everything that is important for their stay.
Process for Guests
  1. Register in our guest form. We will ask you about yourself and your accreditation.
  2. After we found a match for you, you will be informed. This will be around the middle of May.
  3. Get in touch with your host and sort out your details of the stay.
  4. Tell them about your special needs.
  5. As soon as you know your programme during the conference, tell them how much time you will have to spend with you host.

At any point: If you can’t travel to the conference, tell us and your host, so that we can match them with another person who is looking for a place to stay.

Explanation matching process
We try to match as many people as possible. Since we are dependent on how many people can offer a place to stay for the duration of the conference, we follow a certain priority list after which we match.
We will prioritize the guest inquiries as explained in the diagram:
The inquiries will be ordered by the categories with priorities from top to bottom. So, people under 27, part of a marginalized group, Global South, Below 21 who already have an accreditation will be matched at first. Afterwards all people in the same categories but not accredited, afterwards the one from Global South and above 21 (but under 27) who are accredited, and so on.
Since there are more rounds of matching, there is a possibility for you to get a place shortly before the start of the conference. Please note that we have an age limit of 30 years!
